Send a PDF document to signers sequentially or all at the same time - find the setting in ‘more options’ when sending a document.

If you wish to send a PDF to multiple signers try and set up your document so that any text sections for signers have the ‘substantive’ checkbox unticked. If Signer 1 needs to wait for SIgner 4 to complete a text section that is ‘substantive’ (i.e. relevant to the terms of the contract), this will hold up the signing process.

If there is one section of ‘substantive’ text that needs to be assigned to a signer unavoidably, make sure it is signer 1 that needs to complete it and send the document to signers sequentially. Signer 2, 3 and 4 etc won’t hear about the document till the substantive part is completed, and so there won’t be any hold ups.

On a PDF you can define text sections for a signer to complete. This text could either be connected with the terms of the document, or connected with the signing process - e.g. the signer ticking a checkbox to confirm they have read the document, or writing in their name, would be part of the signing process, not substantive to the terms of the document.

The distinction is important.  If you have more than one signer, you don’t want to hold up the signing process while everyone waits for a bit of text from another signer to be completed when that text is not connected with the terms of the document. Now you can define whether text is one type or the other by checking the ‘Substantive/Part of terms’ checkbox for a signer text element. Untick this if other signers don’t need to wait on the text that goes here before they can sign.

We’re pleased to release the first  of a series of upgrades that will give you significantly more power from deploying groups.  You can now create a network hierarchy between groups (i.e. parent/child relations  between groups). A parent gets read-only visibility on all the sent document listings. This means, for example, that if you have multiple sales or regional teams with their own groups and you need to monitor them all simultaneously, you just add those groups as children of your master group and you get instant visibility on all business activity. You can quickly and easily handle business change by adding or removing groups from your network. It’s also fully scaleable with growth in your business; the depth (child of child) or breadth (multiple children of one group) of a network has no limit. More coming soon….

Checkboxes for PDF are available from today with several checkbox options to cover all your scenarios - the standard tick and cross, or to leave it blank if unchecked, with different icons for checked/unchecked.  Just select the type of checkbox you want from the ‘validation’ dropdown when placing your form field, it couldn’t be easier.

Follow-ups are here - scheduled reminder emails to signers. This is a feature we’ve been keen to implement for a while and which has been pushed up the development list by popular demand.

With follow-ups you create a set (a schedule) of time-delayed emails to send to a signer if they haven’t completed your document.  You can have different emails for if the signer hasn’t visited at all, or if they’ve visited but haven’t completed. Choose the number of days after the signer’s last visit and the time of day you want to send the email. Skip weekends for business customers, or include them for household customers. Create as many schedules as you like for your group, select one with just a click for each signer, and, if you need to make a minor edit for an individual signer that’s no problem - easily edit if you need to. We’re pleased to release our PDF template system into beta. PDF offers great fidelity to original documents and a super-easy interface to set up documents. PDF templates complement Legalesign’s existing HTML templates. Try both to see which better fits your documents and workflow processes. HTML is excellent for more complex documents, the API and benefits from a wider feature-set if you need more control. Let us know your feedback!

Legalesign API now includes ways to be 100% confident the final PDF is ready for download.  Theoretically there can be a lag between signing and PDF creation.  To date the API has indicated a document has been signed, but not when the final PDF has been created. 99.9% of the time this does not matter, but it has been theoretically possible to get information the document has been signed and then to hit the API for the PDF before it is fully created.  Thus integration code has need extra crons and code loops to ensure the final PDF is downloaded. 

Now the /document/ and /status/ endpoints include the ‘download_final’ boolean value. This will switch to true when the final PDF is ready for download.  If you are using the document callback then the document resource_uri will be POSTED with a value of ‘100’ (in addition to the ‘30’ status).

Using a combination of the callback and /document/ and /status/ endpoints, with both signing status and download file status information, the Legalesign API now includes the facilities to build in considerable redundancy for better resilience in your systems.

Finally template sharing between groups is here. This feature helps you scale out your use of groups: distribute your templates internally (across sales offices nationwide for example), or externally - with suppliers, franchisees or clients.  Go to ‘Groups Networking’ in the Group Options menu and switch on groups networking and get connecting.

Group membership (read/write/send permissions) and group networking (read only permission) gives you a complete set of permissions with which you can shape and roll out your use of Legalesign Groups.
